Events Coordinator

About the Role:

Egypt University of Informatics (EUI) is seeking a motivated and organized Event Coordinator on a full-time basis to support the planning, coordination, and successful execution of university events and activities. The role plays a key part in ensuring that all events reflect EUI’s vision and strategic objectives while delivering engaging and well-executed experiences for participants and stakeholders.

Key Responsibilities:

  • Assist in planning, organizing, and executing university events, visits, and activities.

  • Research and identify suitable venues, suppliers, and service providers, and prepare related documentation.

  • Gather and compile information to support the preparation of Event Profiles and concept notes.

  • Coordinate logistics, including venue setup, materials preparation, catering, schedules, and event supplies.

  • Liaise with the Marketing and Communications team or external agencies to ensure the timely delivery of branding materials and visuals.

  • Support the development of event timelines and checklists to ensure efficient preparation and flawless execution.

  • Assist in organizing PR events, campaigns, and on-campus activities in coordination with relevant departments.

  • Participate in planning and follow-up meetings for upcoming events.

  • Maintain and regularly update the department’s calendar of events and visits.

  • Provide on-site support during events to ensure smooth coordination and professional presentation.

  • Prepare purchase requests and follow up on event-related payments and administrative requirements.

  • Handle general administrative tasks such as correspondence, filing, and follow-up communication.

  • Communicate event details and updates effectively with internal departments and stakeholders.

  • Perform any other related duties assigned to support the department’s objectives.

Qualifications & Skills:

  • Bachelor’s degree; fresh graduates are welcome to apply (1–3 years of experience in event coordination or administrative support is preferred).

  • Strong organizational and multitasking skills.

  • High attention to detail and ability to work under pressure.

  • Excellent communication and interpersonal skills.

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint); familiarity with event management tools is a plus.

  • Flexibility to work extended hours during events when required.
