Purchasing Specialist

About the role: 

Egypt University of Informatics (EUI) is seeking a qualified and experienced Purchasing Specialist to manage procurement and logistics operations. The successful candidate will be responsible for implementing and maintaining procurement processes, negotiating with suppliers, ensuring timely deliveries, and coordinating with internal departments and external stakeholders to achieve cost-effective and high-quality sourcing outcomes.

Key Responsibilities:

  • Implement and maintain procurement processes and procedures for both direct purchases and tenders.
  • Analyze vendor quotations and evaluate suppliers based on price, quality, and delivery terms.
  • Negotiate shipping terms and coordinate with suppliers to ensure timely delivery, especially for critical items.
  • Collaborate with vendors to expedite deliveries and resolve any issues related to supply or logistics.
  • Coordinate all logistics activities, including tracking shipments and following up with customs brokers.
  • Follow up with the Ministry of Finance to secure primary and final VAT exemption approvals.
  • Oversee the complete process of receiving goods and ensuring vendor payments are processed on time.
  • Track and update the status of purchase requests, contracts, and orders regularly.
  • Assist internal departments in identifying, consolidating, and planning their procurement needs.
  • Monitor supplier performance and ensure compliance with procurement standards and timelines.
  • Produce and maintain up-to-date procurement reports and documentation for internal and external use.

Qualifications & Requirements:

  • Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.
  • Proven ability to understand requester requirements and deliver optimal solutions in terms of price and quality.
  • Knowledge of Law 182 for 2018 is a plus.
  • Knowledge of SAP or other enterprise resource planning (ERP) systems used in procurement and supply chain management.
  • Strong negotiation skills and ability to engage effectively with local and international suppliers.
  • Excellent communication and interpersonal skills for coordination with internal departments and external stakeholders.
  • Proficiency in email writing and business correspondence.
  • Good knowledge of Microsoft Office Suite, especially Excel and Word, for reporting and analysis.
  • Very good command of both written and spoken English.
  • Ability to learn new tools and systems quickly and work with a wide variety of suppliers.
  • Strong sense of organization, accuracy, and attention to detail.
  • Ability to work under pressure and manage multiple procurement tasks simultaneously.
